What We Learned From Cleaning Over 500 Offices in London
As a commercial cleaning company in London, we consistently provide cleaning to a wide range of companies and businesses across the city. With every new client, every cleaning and every new challenge, we learn more, gain new insights and optimise our services and cleaning practices across the board to ensure our cleaning services are always above the standards and exceed our clients’ expectations.
Since the start of 2025 up until the day of publishing this case study, we have cleaned over 500 different offices throughout London. Our clients from various industries across the corporate sector are primarily located in Central London, including the City of London, Westminster, Southwark, Kensington & Chelsea and Tower Hamlets.
Most of our clients signed a cleaning contract with MN Support Services after their previous cleaning contractor failed to maintain their office spaces and meet their expectations. Others, however, decided to outsource their cleaning requirements after moving from a serviced office to a new, larger office space.
Challenges of Office Cleaning in London
Providing office cleaning services in London comes with its unique challenges. London is a diverse city when it comes to buildings.

While most corporate offices in the City of London are modern and recent, as you get further towards Westminster or Tower Hamlets, office buildings get older, dating back to the 1800s and 1900s. Building age poses a unique challenge as the cleaning strategy for traditional office spaces is different compared to modern, open-plan offices.
Another challenge is the size of the offices. In London, you can find an office with enough space for two employees, all the way to large, multi-floor corporate spaces with hundreds of employees working at the same time. Office size is another challenge for cleaning contractors. Creating a consistent cleaning plan, allocating the right number of cleaners and hours and optimising the use of cleaning materials are a few examples of this specific challenge.
And last, the most recent challenge is the shifting trends and requirements. Clients are not more aware of the benefits of office cleaning services. They look at office cleaning services as an investment and expect high returns, which for them is a pristine and spotless workplace that not only is clean and hygienic but also boosts productivity and promotes business success.
Our Approach to Providing Office Cleaning Services
At MN Support Services, we have a streamlined 3-step process that saves our clients a lot of time. At the first step, our clients request a quote. We call them to arrange a free site survey.
The second step is the site survey. Our surveyor visits the office space, assesses the site and takes note. During the visit, the client will discuss their expectations and requirements as well, and we will apply their needs to our cleaning plans. Shortly after, we send them the quote, which is valid for 12 months without any obligation. So they can take their time and make the right decision whenever they are ready.
The last step is when the client decides to accept our quote and sign the contract. At this step, they just contact us and we’ll handle everything else, including service transition, TUPE if applicable, cleaner’s training and onboarding.
Everything after these 3 steps is our responsibility. We will ensure the office space is always clean, pristine and spotless, every time our client and their employees enter their workspace.

We also handle quality audits and service adjustments, which are a great part of this case study, allowing us to learn more as we provide service and apply our new knowledge across all our cleaning services.
7 Lessons We Learned After Cleaning 500+ Offices
For this case study, we reviewed our data from cleaning our current and new clients’ offices in London. The data includes, but is not limited to, the following:
- Data from our 3-step process
- Tailored cleaning plans & quotes
- Time of cleaning
- Cleaning frequency
- Duration of each cleaning session
- The number of cleaners
- Results of quality assurance audits
- Clients’ communications and concerns
- Additional service and consumable orders
We leveraged AI to run deep analysis and highlight important data and trends. The following are the top 7 lessons we learned after cleaning over 500 offices in London since the start of 2025.
#1 No Two Offices Are Alike
Although it’s obvious and everyone in the commercial cleaning industry knows this, still, no two offices are similar. This is not just in terms of office size, location, cleaning frequency, etc.. In fact, they are not similar in terms of the service they need.
Each office requires a tailored cleaning plan that works best for that specific premises. A cleaning plan bespoke to a specific office will not necessarily work in another office space and may result in substandard cleaning or extra costs the client shouldn’t pay normally.
#2 Sustainability is an Important Matter
Data suggests that more businesses are shifting their focus to sustainability. They prefer the use of eco-friendly cleaning materials, sustainable cleaning, reducing waste and going completely paper-free.
Therefore, we are constantly adapting our services to help our environmentally conscious clients reach their goals and achieve their net-zero milestones. We have trained our cleaners with modern, sustainable cleaning practices and proper recycling and disposal of cleaning chemicals and wastes.
#3 Attention to Details
One of the reasons many of our new clients switch to MN Support Services is related to attention to detail. Their previous cleaning contractor and cleaners didn’t have the level of attention to detail we consider standard at MN Support Services.

Our clients are looking for a thorough cleaning service, which even includes cleaning and sanitising wall fittings like light switches, door knobs and hidden dust spots, as well as high-touch points throughout the office.
#4 Communication Concerns
Poor communication has always been a major issue with commercial cleaning companies. Clients are not willing to spend more than a few minutes communicating their needs and concerns to the cleaning contractors. They also want everything done and dusted in a few hours or a day or two. If the cleaning contractor doesn’t maintain effective communication, clients will terminate the contract.
We resolve this issue by appointing an operations manager for our clients. They can contact the operations manager to communicate their needs. Our operations manager, then, will apply the client’s requirements and adjust the service to meet their expectations.
#5 Consistency is Important
Service consistency is one of the main concerns of clients, almost as important as cleaning standards. Clients were to ensure cleaners are on time, work the contractual hours and provide a thorough cleaning service on each visit. They also want to ensure a cover is available in case the cleaner doesn’t show up or goes on holiday.
Since most office cleaning services, as opposed to in-house office cleaners, are provided outside the working hours, clients may be sceptical about consistency. They want to ensure cleaners arrive on time and work their contractual hours.
What we offer our clients to ensure their peace of mind is a detailed report taken from the monitoring app. We use a premium monitoring app that allows us to notify cleaners of their schedule and monitor their arrival and the number of hours they work.
On top of monitoring cleaners, our operations managers conduct regular quality assurance audits to ensure our services are up to our standards and meet & exceed our clients’ expectations.
#6 Staying Away From Cheap Cleaning Services
One of the surprising trends we discovered in our data was the change in investment habits. Previously, most clients were evaluating commercial cleaning companies based on their price. They usually opted for the cheapest option.

However, this habit has undergone a significant change. There was a 21% drop in choosing price as the primary evaluation factor compared to 2023 – 2024. It seems that clients are aware of the problems of outsourcing to cheap office cleaning services.
In 2025, data suggests that clients are aware of the range of office cleaning service costs in London. Therefore, they avoid office cleaning companies with lower or higher costs than the going rate.
#7 Paying Attention to Social Values
One of the trends we notice every year is the attention clients pay to social values that a cleaning company provides for its staff and cleaners.
In fact, since 2023, we have seen more clients asking whether we are paying cleaners the London Living Wage rate, which is higher than the National Minimum Wage and is calculated by The Living Wage Foundation. We are a recognised service provider of The Living Wage Foundation and pay all our staff the London Living Wage or more.
It is always great to see that clients’ perspectives and beliefs during the evaluation process have changed towards sustainability and social value.
The Impact of Our Services
To understand the impacts of our cleaning services, we interviewed several of our clients in London’s corporate sector who signed a new cleaning contract in the past 3 months.
In our interview, we asked each client a series of questions focused on how our services transformed their office space, employees and company. We also asked questions about the differences between our services compared to their previous cleaning contractor, if they had one.
Here’s a summary of what they told us about our office cleaning services:
- We improved cleanliness, health and hygiene standards across their workplace.
- Employees are more productive throughout the day due to the office organisation.
- They improved their brand image, especially their client’s first impression.
- We helped our clients achieve their environmental and cleaning goals.
- We dramatically reduced their cleaning expenses.
- Our communication process is straightforward, and concerns are taken seriously.
- We provide a high-quality service at a reasonable cost.
